How it works

Get started in three steps.

  1. Set up your workplace community

    We register your company's email domain in Herdy. From that point, any employee who signs up with their work email is automatically added to your carpooling network: no manual approval required, no IT integration needed.

  2. Help employees find people going their way

    Employees download Herdy to offer or find a ride, chat and arrange their journey. They can carpool with colleagues or people in the wider Herdy community whose routes and schedules fit.
    Cost-sharing is handled automatically in-app: no cash, no awkwardness.

  3. You track, measure and report

    Your sustainability manager logs into the Herdy employer dashboard and sees real-time data: active carpoolers, rides completed, CO₂ avoided, top corridors. Export the data quarterly for Scope 3 reporting or ongoing ESG disclosure.

How this example is calculated

Activity and definitions

Active participation means unique employees who completed at least one shared ride, divided by 240 eligible employees. Registrations alone are not participation. A ride is a completed one-way vehicle journey, counted once, rather than once per passenger. Cancelled rides are excluded. Shared kilometres are the common 20 km segment; collection detours are shown separately. This demo has one employee driver and one employee passenger on every ride.

Counterfactual and vehicle distance

For August, 360 passenger journeys × 70% who would drive alone × 20 km = 5,040 baseline vehicle-km displaced. Subtract 360 km of detours (1 km per completed ride), giving 4,680 estimated net vehicle-km avoided. The drivers are assumed to make their 20 km journeys regardless. Unknown and other modes receive zero baseline credit; all detours are still counted.

Emissions calculation and boundary

4,680 km × 0.180 kg CO₂-e/km = 842.4 kg CO₂-e (displayed in tonnes rounded to two decimal places). The illustrative factor represents operational vehicle emissions only; upstream fuel, vehicle manufacture and infrastructure are excluded. All vehicles use the same assumed factor. Actual factors vary by fuel, efficiency, vehicle technology and electricity region. No uncertainty range has been modelled.

For real reporting

Collect journey distances, occupancy, vehicle/fuel information, travel-mode responses, detours, period and coverage. Document factor source, year, units, geography, gases and boundary; match vehicle-km factors to vehicle-km and passenger-km factors to passenger-km. Apply a documented allocation method for mixed employee/public rides and avoid double-counting across groups. Protect personal journey details through agreed access, aggregation and retention rules.

Validate the method with your reporting team, include non-Herdy commuting, and report missing data and uncertainty. This prototype does not claim AASB S2 or GHG Protocol compliance, assurance, carbon credits or a complete Category 7 inventory.

Can employees carpool with people outside our organisation?

Yes. Work email verification controls membership of your organisation’s group. Employees can also find rides across the wider Herdy community, increasing their opportunities to find a suitable match.

Is the employer dashboard available now?

The dashboard shown is an illustrative prototype. We’re working with founding partners to shape the reporting, measures and exports around real workplace needs. We’ll agree available features and delivery expectations with each partner.

How will estimated emissions savings be calculated?

The proposed approach compares a shared journey with how its participants would otherwise have travelled, accounting for distance, vehicle characteristics and additional driving. We’ll develop the methodology and its documentation with founding partners, making assumptions clear rather than treating every shared ride as an avoided car trip.

Does the organisation pay for employee rides?

The founding partner offer does not require employers to fund rides. Drivers and passengers agree their cost contributions separately. Founding partners receive 12 months of free employer access.

What employee information will employers see?

We’re designing the employer dashboard around aggregate commuting insights. Reporting access, privacy safeguards, minimum reporting group sizes and data arrangements will be agreed with founding partners before launch.

What does being a founding partner involve?

Help introduce Herdy to your employees and give regular feedback on participation and reporting. Your sustainability and HR teams help shape useful measures, export formats and the information needed to understand commuting impact.

How many employees need to participate?

There is no single participation threshold that guarantees results. Matching depends on routes, schedules and available drivers. Access to the wider Herdy community gives employees more potential matches, including when participation within their own workplace is small.

Does carpooling always reduce emissions?

No. The outcome depends on the journey it replaces, vehicle emissions and detours. Replacing a solo car journey can reduce driving; replacing walking, cycling or a public transport trip may not. That’s why reporting needs to understand what people would otherwise have done.

How does Herdy support our Scope 3 reporting?

Herdy is designed to contribute useful employee commuting activity data. A complete Category 7 inventory also needs non-participants and other travel modes. Estimated avoided emissions are a separate comparison, not an offset or an automatic inventory deduction. Your reporting team remains responsible for boundaries, methodology and assurance; this prototype does not claim reporting compliance.
